‍Firefly Strategic Consulting is a Canadian advisory practice helping small, mission-driven organizations build organizational resilience and navigate AI governance & privacy.

‍This Privacy Notice (“Notice”) outlines how we collect, use, share, and protect the information used in our work and through our website. The protection and security of your Personal Information is a responsibility we take very seriously.

‍‍What is Personal Information?

‍Personal Information is information that on its own or combined with other data, can be used to identify you as a person. Personal Information includes information collected from you directly, or from a third party. It does not include your business contact information such as name, title or business email address.

‍‍What Personal Information do we collect?  

‍The Personal Information collected depends on your interaction(s) with us. We aim to limit the amount of Personal Information we collect to what is needed to provide you with our services.

‍Through our services and with your consent, we may collect:

  • Name and contact information

  • Employer information

  • Information you choose to provide through communications or inquiries

  • Information about your organization that you choose to provide in the Pathway to Reset program

‍Our website uses only strictly necessary cookies required for basic site functionality and security. We do not use cookies for tracking, analytics, or advertising purposes.

Children’s Privacy

‍Firefly Strategic Consulting’s services are not directed towards children or minors. We therefore do not knowingly collect Personal Information from individuals under the age of 18.

How do we use your Personal Information?

‍We may use your Personal Information with your consent, or where it is necessary to provide you with our services or meet legal obligations. We need this information to maintain a business relationship with you. Information collected is used to help us administer our services including:

  • Communication

  • Event participation

  • Payment and financial information relating to our service providers (such as billing details or banking information for payment processing)

  • Complying with legal obligations

Automated Decision-Making

‍We do not use automated decision-making or profiling processes that produce legal or other significant effects on individuals. 

‍Who do we share your Personal Information with? 

‍Firefly Strategic Consulting does not share or sell your Personal Information to third parties.

‍Your information may be shared with service providers contracted by us to help with our administrative functions, including communications tools, document management, event management, and finances. These service providers are bound by confidentiality and are limited in the way in which they can process, access, or store Personal Information based on our instructions.

‍Your Personal Information may be stored or processed outside your province or Canada by our service providers, and may be subject to the laws of those jurisdictions. Before any such transfer, we assess whether it will receive adequate protection.

‍We may also share Personal Information (to the extent that we have it) if we are required to do so by law. Any other sharing of your Personal Information will only be done with your express consent.  

How is the information we collect protected?

We protect your Personal Information with technical, organizational, and physical safeguards appropriate to the sensitivity of your Personal Information. These safeguards include limiting who can access your Personal Information, assessing privacy risks before we adopt new tools or activities, and regular review of our safeguards and those of our service providers.

It is important to understand that no online platform is perfectly secure. We encourage you to also play a role in protecting your Personal Information by limiting what is sent to Firefly Strategic Consulting via email or other means.

‍What happens in the event of a breach?

If a privacy breach occurs that presents a real risk of significant harm, we will notify affected individuals and the appropriate privacy regulator, as required by law.

‍How long do we keep your Personal Information?

‍We keep your Personal Information as long as it is needed to fulfill the purposes described above, and to meet any legal, accounting, or reporting requirements.

‍‍For the Pathway to Reset program, data is kept for 90 days and then automatically erased.

What are your rights and choices?

‍You are entitled to the following rights and choices, regarding your Personal Information:

Accessing and/or correcting your information: If you wish to access and/or correct your Personal Information, you may do so by contacting us at info@fireflyconsult.ca . If there are legal reasons why we cannot fulfill your request, we will inform you in our response.

Withdraw consent: We rely on your consent to collect and use your Personal Information. You are free to withdraw your consent at any time by emailing us at info@fireflyconsult.ca. Please note that if you withdraw your consent, we may no longer be able to provide you with our services.

Deleting your information: You may request that we delete your Personal Information, subject to any legal, contractual, or accounting requirements that require us to retain it. Where deletion isn't immediately possible, we will restrict further use of the information until it can be securely destroyed.

Data portability: You may request that certain Personal Information you have provided to us be transferred, in a structured and commonly used format, to you or to another organization, where technically feasible.

Reporting a concern: If you have concerns about the way your Personal Information has been handled by us, please let us know at info@fireflyconsult.ca so that we may address it. ‍ ‍

If you do not feel your concern has been addressed, you have the right to notify the Office of the Privacy Commissioner of Canada or the privacy regulator in your province or country.
